2008 Portfolio Checklist

Materials Due: April 2

*Note that electronic files of all submission forms, including editable word files, are available online at schooldesigns.com/08EISSubMats.htm.

1.   Project Data Sheet:

q     This should be the first page of your portfolio.

Tips:

·         All project data (school name, firm name, etc.) printed in the magazine and online is taken directly from the Project Data Sheet (not from the original entry form or other materials). It is important to complete this form exactly as you would like the data to appear.

·         If you have data to appear in the magazine listed on a separate sheet, be sure to note this on the Project Data Sheet.

·         Costs include building “bricks and mortar” and any permanent, built-in furniture. Do not include design fees and other “soft costs.” When in doubt, specify on the form what expenses you are including in your cost total.

2.   Project Description:

q     This should be the second page of your portfolio. Include 175 words for one page of published material, plus additional words for multi-page layouts (i.e. up to 300 total words if you’ve selected a 2-page layout – click here for page layout word counts). Description should include the educational program requirements, the designer’s response to these requirements and any special or unusual problems. Must be typed. Please e-mail a copy of the description in addition to the printed form included in your binder. This can be sent to mailto:slustig@asumag.com.

Tips:

·         Can’t describe your project in the word count allocated? Although AS&U won’t edit your description prior to judging, judges rarely have time to read descriptions longer that the count suggested. Be sure to include the most important information at the beginning of your description. Descriptions will be edited prior to publication.

3.   Space Plans:

q     Space plans are required for judging. Include one plan, with legend, for each floor or area being judged.

Tips:

·        Click here for an example of preferred plan and legend layout.

·        Plans are only required for the part of the building that is the project category area being judged.

4.      Photographs:

The jury bases its decisions on the portfolio content only; therefore, take care that your images and information are of the highest quality – either photographs or high-quality color printouts.

q     In addition to the portfolio, please provide your images on CD or ZIP disk. The photos should be 300 DPI TIF or EPS files, or JPEG files (8” x 10” size preferred). Be sure to properly identify the project and any photos being sent.

q     Include one overall exterior shot: 8” x 10” 4-color photograph to show the project in its context.

q     Include at least four additional 8” x 10” shots of the project that illustrate various aspects of the entry category.

q     Label the back of each photograph or printout with the following information:

·         Project name

·         Photographer credit

·         Print preference: “1-5” ranking for photo publishing preference, 1 being highest.

q     Label the front of each sleeve with a photo description for judging (This is the information about your photo the jury will see).

q     If you are entering the Interior Renovation category, you must include at least one “Before” photo and the corresponding “After” photo.

Tips:

·        In lieu of a CD, you may also send your electronic photo files via e-mail to mailto:slustig@asumag.com. Be sure to properly describe each photo being sent.

·        Your project will best fit the entry category, and provide optimal marketing exposure, if the majority of your photos pertain to the category it is being judged and published in. Consider pictures of the parts of the building surrounding this area.

·        You may provide more photos in your binder than required, but remember that judges have a limited amount of time to spend with each project. Prioritize which photos you want them to see and be sure to rank photos for possible publication, since each page of your layout can only include four to five photos.

·        AS&U editorial staff has final decision over what is included in the printed project and may choose to print only those photos that relate to your selected entry category.

·        Include a mix of horizontal and vertical photos.

5.   Manufacturers List:

q     On the form included in this packet, please provide the national manufacturers whose products were used for the project. Copy and complete one form for each entry.

Tips:

·         The manufacturers list is not required for work-in-progress projects.

·         Only complete the product categories that apply to your project or the project category being judged.

·         The manufacturers list is used to compile a directory of manufacturers printed in the magazine for the projects published in the Educational Interiors Showcase issue. Please either send with your portfolio due April 2, or fax to (913) 514-6960 by May 7.

6.   Portfolio:

q     Place all materials listed above in the binder provided.
